The short version

1. Our two roles
Digitrend handles personal information in two distinct capacities, and the difference matters for your rights:
- As a controller, for information about visitors to this website, people who contact us, and the administrators and staff of customer organisations. We decide why and how that information is handled.
- As a processor, for information a customer organisation puts into the platform about its own customers, guests, tenants, patients, applicants or employees. That organisation decides why and how; we act on its instructions under our agreement with it.
If you are a customer of a business that runs on 4bizs and you want to exercise a right over your data, contact that business first. We will support them in responding, and we will direct you to them if you contact us instead.
2. What we collect
Information you give us
- Contact and enquiry details: name, email address, telephone number, business name, business type, and the content of your message.
- Account details: name, work email, role, organisation, and authentication credentials.
- Billing details: billing contact, address, tax identifiers and payment method reference. Full card numbers are handled by our payment providers and are not stored by us.
- Support correspondence, including anything you attach to it.
Information we collect automatically
- Server and access logs: IP address, user agent, requested URL, referrer, timestamp and response status.
- Security and audit records: sign-in events, permission changes, and consequential actions taken in the platform.
- Operational telemetry: error reports, performance traces and correlation identifiers used to diagnose failures.
Information we do not collect on this website
This marketing website does not run advertising networks, cross-site trackers, session recording, or behavioural profiling. It sets no cookies of its own.
3. How we use it
- To answer enquiries and arrange walkthroughs.
- To create, secure and administer accounts.
- To provide, maintain, troubleshoot and improve the platform.
- To bill for the service and collect payment.
- To detect, investigate and prevent fraud, abuse and security incidents.
- To send service messages about availability, security and material changes. These are not marketing and cannot be opted out of while you hold an account.
- To meet legal, tax, accounting and regulatory obligations.
We send marketing email only where you have asked for it or where permitted under Canada’s anti-spam legislation, and every marketing message carries an unsubscribe link that works.
4. Legal bases
Where the GDPR or UK GDPR applies, we rely on: contract (providing the service you have signed up for), legitimate interests (securing the platform, preventing abuse, improving the product, and business-to-business communication), legal obligation (tax, accounting and lawful requests), and consent (optional marketing). You may withdraw consent at any time without affecting processing already carried out.
In Canada we handle personal information in accordance with PIPEDA and, in British Columbia, PIPA.
5. Who we share with
We share personal information only with:
- Infrastructure providers who host and deliver the platform, including cloud hosting, content delivery and email delivery.
- Payment providers who process transactions and settlement.
- Operational third parties a capability depends on — carriers, customs authorities, telecommunications and mapping providers, marketplaces and messaging channels — and only the data needed for that specific operation.
- Professional advisers such as auditors and lawyers, under duties of confidence.
- Authorities, where required by valid legal process. We will notify the affected organisation unless we are legally prohibited from doing so.
- An acquirer, in the event of a merger, acquisition or asset sale, subject to this policy continuing to apply.
We do not sell personal information, and we do not share it for cross-context behavioural advertising.
6. International transfers
We are based in Canada and prefer Canadian data residency. Some providers process data in other countries, including the United States and the European Union. Where personal information leaves its country of origin, we rely on appropriate safeguards — standard contractual clauses, adequacy decisions, or equivalent contractual protections — and we contract with providers to maintain a comparable level of protection.
7. How long we keep it
- Enquiries: up to 24 months from the last contact, unless a relationship begins.
- Account and customer data: for the life of the account, plus the export window stated in the order form, after which deletion reaches every installed capability pack.
- Billing and tax records: as required by Canadian tax law, currently seven years.
- Security and audit logs: typically 12 months, longer where an investigation requires it.
- Backups: deleted data persists in encrypted backups until they age out on their normal schedule.
8. Security
- Encryption in transit (TLS) and at rest for stored data and backups.
- One identity issuer with role-based permissions, and tenant isolation enforced at the data layer rather than only in the interface.
- Audit records for authentication, permission changes and consequential actions.
- Least-privilege access for staff, granted for a purpose and reviewed.
- Tested backup and restore procedures — tested, not merely configured.
No system is perfectly secure. If a breach affects your personal information and creates a real risk of significant harm, we will notify you and the relevant regulator as the law requires.
9. Your rights
Subject to the law that applies to you, you may ask us to:
- confirm what personal information we hold about you, and give you a copy;
- correct information that is inaccurate or incomplete;
- delete information we no longer have a lawful reason to keep;
- restrict or object to certain processing, including direct marketing;
- provide your information in a portable, machine-readable format;
- withdraw consent where consent is the basis for the processing.
Write to cwang@digitrend.ca. We respond within 30 days and will tell you if we need longer and why. We may need to verify your identity before acting. You can also complain to the Office of the Privacy Commissioner of Canada, to the BC Office of the Information and Privacy Commissioner, or to your local supervisory authority.
10. AI processing
Some features use AI models to draft content, classify items, summarise records and suggest next actions. Where personal information is included in a prompt, it is processed for that request under contractual terms with the model provider.
We do not permit customer content to be used to train third-party foundation models. AI outputs are assistive and are not used to make a decision with legal or similarly significant effect about a person without human review.
11. Children
4bizs is a business platform and is not directed at children. We do not knowingly collect personal information from anyone under 16 as a controller. If you believe a child’s information has reached us in that capacity, contact us and we will delete it.
12. Changes to this policy
We may update this policy. The “last updated” date above always reflects the current version. Where a change materially affects how we handle your personal information, we will give notice by email or in the platform before it takes effect.
